Wholesale Account Order Entry

Please use the Wholesale Login at “ohioflame.com/pages/ws-account-login” to submit all orders. If there is a problem or an inquiry regarding your order, please contact us at “orders@ohioflame.com”.

Pricing and Product Availability

At your account onboarding, you received a Wholesale Pricing Spreadsheet. Please review the that document for the entire product offering that is available for resale by your account. We reserve some products to be for sale on our website ONLY, therefore not every SKU listed on our retail website will be included on your Wholesale Pricing Spreadsheet or in your Wholesale Site. You will see in the Spreadsheet a formula that automatically calculates your wholesale price based on your wholesale discount, which is shown as a percentage off of the MAP (Minimum Advertised Price). These wholesale prices will be reflected in your Wholesale Account at “ohioflame.com/pages/ws-account-login”.

Pricing and Product Updates

In the event of a pricing and product update, we will notify the Wholesale Account via the email address provided on the Account. It is customary to offer a 30 Day notice in the event of a pricing increase, but due to the current volatility and limited availability of the steel market, notices may be 15 Days. We typically introduce new products in the winter months, and we will also notify Wholesale Accounts of new product availability when these are released.

MAP Pricing Enforcement

As we always have done, we strive to enforce MAP (Minimum Advertised Price). We value our products and our brand, and undercutting MAP devalues our brand and cuts into sellers’ margins. By accepting your Wholesale Account with Ohio Flame, you are agreeing to sell at MAP. Therefore, any Ohio Flame product listed online that is below the current MAP price is considered a to be a MAP violation. In the event of a first occurrence, a warning is issued. Second occurrence is following with a Wholesale Account Suspension. Following occurrences may result in Account termination. No Purchase Orders will be acknowledged or processed from the account that is in violation of MAP until all of the account’s listings are corrected to the agreed upon MAP price.

Amazon and Third Party Selling Platforms

Effective August 15, 2023 Ohio Flame no longer allows Third Party Sellers on Amazon. Effective March 5, 2025 Ohio Flame no longer allows Third Party Sellers on Walmart. Any unauthorized sellers on Amazon and Walmart will be reported to the platform and their account may be negatively impacted.

At this time, this policy revision is only for Amazon and Walmart. Other Third Party Selling Platforms are not effected as long as they comply with our Wholesale Guidelines and Conditions. If you are selling on any other Third Party Selling Platforms, you must let us know the name of the Store or Account that you are selling under (if it is different that your Wholesale Account name or what is listed on your W9 and Sellers Certificate). This will ensure that there are no unauthorized seller accounts or storefronts that are trying to cheat MAP.

Inventory Updates

We send a weekly Inventory Update via email. If you would like to be added to our weekly Inventory Distribution email, please email us at “inventory@ohioflame.com” and we will be happy to add your email address for inventory updates.

Return and Refund Policy

Because shipping our products is very expensive, and the shipping costs are already included in the price of the product, we do not cover the return shipping costs or expenses on items returned for the reasons of buyer's remorse or incorrectly ordered products. In the event that a customer wants to make a return, the customer will need to contact the vendor for RMA approval. After approval, all return shipping charges and expenses are at the responsibility of the customer. The item must be returned back to the vendor in it's original packaging along with all included paperwork. Once the item is received back and found to be in new, unused and resellable condition, a refund may be made (refund less shipping fees and restocking fees). If a product is found to be defective or damaged due to shipping and handling by the carrier, the vendor must be notified within 15 days after delivery.

Restocking Fees

Orders that are cancelled after acceptance will be subject to a 5% restocking fee. Our payment processor does not refund their payment collection fees on cancelled orders, therefore we are imposing a 5% restock fees on orders that are cancelled. Cancellation reasons that are subject to a restocking fee include; accidental or duplicate orders, orders cancelled by the end customer, orders cancelled by the reseller.

Free Shipping

We extend Free Shipping to the end customer. You are also able to offer Free Shipping on our products being dropshipped to your customer. We factor in shipping costs on your wholesale pricing, and your pricing is calculated on either you covering the shipping charges or Ohio Flame handling the charges. Free Shipping is only for orders shipping within the Continental USA that are reachable by regular Ground and Freight Services. Shipping addresses that cannot be reached via truck and require additional modes of transit (plane or boat) are not included in Free Shipping and will need to be quoted prior to the order being placed. Areas with limited access may also be subject to additional fees. Please verify with your customer that their address does not require the use of plane or boat to make delivery, and that their address is not a limited access delivery.

Freight Shipping on Third Party Selling Platforms

Our Freight carriers require a working customer contact phone number in order to contact the customer and schedule delivery or their order. Some third party platforms will often protect the customer’s contact information by generating their own phone number and require unique order information along with that phone number. Our Freight carriers do not have all of that unique information and are therefore not successfully able to reach the customer to schedule delivery. When they are not able to schedule delivery with the customer, storage fees begin to be assessed as well as a possible reconsignment (see ‘Reconsignment and Storage Fees’). Please contact your customer directly prior to placing your order with us and provide us with a working customer contact phone number so that we do not experience and delivery delays with your order.

Reconsignment and Storage Fees

On orders in which shipping charges are paid by Ohio Flame, if the order is shipped to either an undeliverable address or if the customer is not able to be reached to schedule delivery (on signature required Ground shipments or appointment delivery required LTL orders), reconsignment fees may be applicable if it is necessary to reroute the shipment either back to Ohio Flame Warehouse or to another destination where delivery can be successfully made. Storage fees may be applicable if the Carrier is required to warehouse the package before a delivery can be successfully made. Reconsignment and/or storage fees will be billed as an additional line item. Please verify the customer shipping address and the customer contact phone number is correct on all orders submitted in the wholesale portal.

Minimum Order Quantities

We have instituted a minimum order of $2,500.00 to Brick and Mortar customers to get Free Shipping to their store. These orders are loose-stack and banded on a pallet, shipping to your commercial address with no liftgate required. Additional shipping/handling fees will apply if there is any deviation from this arrangement.
